Privacy Policy

How we collect, use, and protect your information when you use the Axion Track website, dashboard, and mobile apps.

01Privacy Statement

This policy applies to Axion Track ("Axion Track", "we", "us", "our"), a fleet tracking company operating the website axiontrack.com along with mobile applications under the Axion Track name.

It explains what we collect when you use our website, our web dashboard, our mobile applications, or our support channels — and what we do with it.

We collect only what we need to respond to you and to deliver and improve the service. Using the service means you accept the practices described here. If you disagree with something below, please tell us before you continue — we would rather fix it than lose you.

02Information We Collect

We collect information in three ways: what you give us, what the service generates, and what the devices report.

Information you provide directly:

  • Name, email address, and phone number
  • Company name and fleet details you share when requesting a quote
  • Messages, enquiries, and support correspondence
  • Payment and billing information, processed by our payment provider rather than stored by us

Information generated as you use the service:

  • Login records and account activity
  • Vehicle and driver data created by your own use of the platform
  • Geofence locations, routes, and trip history that you configure
  • Support tickets and diagnostic logs sent by our own apps when you ask for help

Information from your devices:

  • Vehicle location, speed, heading, ignition state, and sensor readings
  • Engine diagnostics and fault codes, where the hardware supports it
  • Video recordings and still images captured by MDVR units you have installed, stored according to your own retention settings
  • State of charge, charging status, and pack health for EV modules

Fleet data stays yours. We process it to run the service you pay for. We do not sell it, and we do not use your fleet data to build profiles or advertising audiences.

03How We Use Fleet Data

Position, telemetry, and video data are used for a specific and limited set of purposes:

  • Displaying live positions, trip history, and reports to you and the users you authorise
  • Generating the alerts you configure, such as geofence, overspeed, and tamper notifications
  • Operating the service — routing data, storing history, and delivering the reports you request
  • Diagnosing device faults when you contact support, so we can fix the actual problem
  • Meeting legal obligations, including responding to a valid order from a competent authority

We do not use your fleet data for advertising, data brokerage, or training third-party models. Where a legal or regulatory process requires us to disclose data, we will notify you unless prohibited from doing so.

04Usage Data

When you visit the website or sign in to the dashboard, we may automatically collect technical information such as your IP address, browser type and version, pages visited, time and date of visit, time spent on those pages, and device identifiers.

From mobile devices this may additionally include device type, mobile IP address, operating system, mobile browser, and crash diagnostics. We use this to keep the service working and to find the features that are slow or broken.

05Cookies and Local Storage

We use a minimal number of cookies and browser storage entries, all of which serve a functional purpose.

  • Session cookies — required to keep you signed in
  • Preference storage — remembers your theme choice, map settings, and dashboard layout
  • Security cookies — protect forms against cross-site request forgery and automated abuse

We do not run advertising trackers, cross-site profiling cookies, or third-party analytics pixels on this website. If you block cookies, the parts of the service that depend on a session will not function, but the marketing website itself will still work.

06Payments

Payments are processed by a third-party payment provider. We never see or store your full card or bank details.

Where payment is made by bank transfer, we issue a receipt against the transfer. We do not publish our banking details on this website — they are provided directly to customers at the point of invoice.

Axion Track does not authorise any payment made in our name through an account or channel we have not confirmed in writing. If you receive such a request, it is fraudulent. Contact us directly and we will verify.

07Data Retention

Historical trip data and video recordings are retained for the period you configure in your dashboard. When retention expires, we delete them from primary storage.

Account and billing records are retained for as long as your account is active, and afterwards for the period required by applicable tax and accounting law. Security logs are retained for a limited period sufficient to investigate incidents.

08How We Protect Your Data

We apply the same controls to fleet data as we would to our own. Full technical detail is on our security page.

  • Data encrypted in transit using TLS 1.2 or higher
  • Encryption at rest on all databases, backups, and stored media
  • Role-based access control, so staff see only what their role requires
  • Access to customer data is logged and reviewed
  • Backups tested for restore, not merely written

No system is perfectly secure. If we discover a breach affecting your data, we will notify you and the relevant authority within the timeframe required by applicable law, and we will tell you plainly what happened.

09Children’s Privacy

Our services are not directed at children under 18, and we do not knowingly collect personal information from them directly.

Where a service is used to transport children — school transport, for example — the relevant data is processed on behalf of the parent or guardian who operates the fleet. Those accounts record the responsible adult, not the child. We do not build profiles of children, and we do not use any information relating to a child for marketing.

If you believe a child has provided us personal information without appropriate parental involvement, contact us and we will remove it.

10Your Rights

You can request the following at any time, and we will action it without charge:

  • A copy of the personal information we hold about you
  • Correction of anything inaccurate
  • Deletion of your account and associated personal data
  • An export of your fleet data in a standard, machine-readable format

We verify account ownership before acting on a deletion request to prevent someone removing another customer’s data. Confirmed deletion requests are completed within 30 days. Certain records may be retained where applicable law requires it, and we will tell you which and why.

11Changes to This Policy

We update this policy when our practices change. The date at the top always reflects the current version. Where a change is significant, we will make a reasonable effort to tell you through the website, email, or SMS before it takes effect.

Continuing to use the service after a change means you accept the updated policy. If you disagree with a material change, you can cancel and export your data.
